Job Description:
- Efficiently manage the Executive Director’s schedule, including organizing meetings, appointments, and travel arrangements.
- Prioritize and schedule appointments to optimize the Executive Director’s time effectively.
- Arrange travel logistics, including flights, accommodations, and ground transportation, ensuring a smooth and timely itinerary.
- Prepare travel-related documents and provide necessary information for each trip.
- Prepare agendas, documents, and presentations for meetings attended by the Executive Director.
- Record and transcribe minutes of meetings as required.
- Oversee the organization and filing of official documents, reports, and correspondence.
- Maintain an efficient filing system for easy retrieval of information.
- Assist in filling out forms, drafting emails, and preparing official correspondence on behalf of the Executive Director.
- Ensure accuracy and completeness in all documentation.
- Coordinate arrangements for guests, including scheduling appointments, preparing accommodations, and managing hospitality.
- Manage incoming and outgoing communications on behalf of the Executive Director, including emails, phone calls, and written correspondence.
- Facilitate the coordination of guards and drivers as needed, ensuring the security and safety of the Executive Director.
- Maintain a high level of confidentiality regarding sensitive information related to the ED and the organization.
- Handle ad-hoc tasks and projects assigned by the ED.
- Act as a liaison between the ED and other staff members, fostering effective communication.
Job Requirements:
Education & Experience:
- Bachelor’s degree in , Business Administration, or a related field. A Master’s degree is an asset.
- Minimum of 2 years of experience in event planning and management, preferably within the NGO sector or similar organizations..
Commitment and Dedication:
- Knowledge, understanding and commitment to organizational policies
- Willingness to travel to provinces when planed by the management
- Willingness to work outside official hours
Language Proficiency:
- Fluency in both national language (Dari & Pashto) oral and written
- Fluency in English is a must both oral and written
